I currently live in Brooklyn with my three little boys and husband. What can I say, I’m the unofficial -but official - Queen in my house. I love weird combinations of food (more on that later), going out (MOMS CAN DANCE TOO), and seeing the "A-HA" look on a founder's face when they unleash the story that has been buried in them and their business for way too long.
Next week I’m teaching at a university in New Jersey (virtual) in their inaugural AI entrepreneurship class.
Aside from the fact that I can’t believe I can add “UNIVERSITY PROFESSOR BOO-YAH SAY WHAT” to my website, the back-and-forth with the school has gotten me thinking.
When they first asked me to teach the “AI-Powered Content Creation” module back in April, I felt resistance.
Because nothing stresses me out more than entrepreneurs who laundry-list their AI tools:
I had visions of rattling off tool names to entrepreneurs, giving everyone (including myself) anxiety attacks, and all of us ending class heaving into brown paper bags together as one on zoom.
Fun times.
After a few back and forths with the department chairs (turns out I do have boundaries and they are FIERCE IN THE AI WORLD but disappear when it comes to leaving social functions at a reasonable hour or having just ONE MORE glass of wine but that’s not the point here…), we landed on a class outline that makes me excited to teach.
❌ What we DON’T need: another list of shiny objects to collect.
✅ What we DO need: to see how AI fits into real workflows that solve problems for entrepreneurs and side hustlers’ like us.
So instead of the overwhelming tool dump, here’s a BTS look into how I actually fit AI into my daily work flows:
Ok so DUH of course I start with this one.
But truly…I do not start my work day without first checking in with Pocket Patrice. We get into our daily fight over “who the real Patrice is” but then I tell her what’s plaguing my mind (poor poor AI tool):
We’ll usually kick off the morning by her telling me my Linkedin post sucks:
But then she always gives me the kick in the butt and the reminder I need to stay true to my own voice when it’s really tempting to short cut:
LinkedIn is one example of how I use MyStoryPro but that platform has brought so many opportunities my way this year -teaching gigs, clients, podcasts, even major AI conferences asking me to speak.
I’m not huge on this platform, but I put ME in all of my posts and My StoryPro ensures I do this better than I could on my own.
Why this matters to you:
What if you treated AI like your most honest business partner?
The one who’ll tell you when your post is boring, not deep enough and push you to stay true to your voice and original thoughts?
How to start:
Whether you use MyStoryPro or ChatGPT – stop asking AI to do the work FOR you.
Start using it to make your work BETTER. If you get a draft or a post on the first try….you know your AI is not making you better.
So we recently ditched…. (sit down for this) SLACK. 😱
I resisted HARD at first…but my AI implementation Earth Angel co-founder Wiebke would tell me, “You have not seen the light. COME hither to ClickUp.”
And you know what? She was RIGHT. (eye roll at myself.)
Now Wiebke’s AI agents built into the CRM tool give us weekly team roundups – no more “what’s the status?” messages cluttering our week. It spots bottlenecks automatically.
(for example this week it caught contracts sitting in my email preventing developer onboarding. No team messages required -and I handled it ASAP.)
And this is all done from our natural chats with one another. So no extra meetings.
In fact, we’ve cut down on our meetings and when we do meet we are able to focus more on strategic initiatives or problem solving.
Why this matters to you:
Before: My team (especially VA Shayla) spent hours each week digging through old Slack threads, trying not to lose important info. Things still fell through the cracks because we’re human.
Now: AI handles the high-level organizing so Shayla can focus on actual projects and skill-building. We’re way more “in the know” holistically as a team without the constant searching. We spot issues MUCH quicker in my business now.
How to start: Pick one recurring admin task that eats your time (status updates, project tracking, file organization) and automate it first. Build from there.
I love this next one. Applications, onboarding requests, 1:1 client questionnaire completion, urgent emails automatically flow into the right ClickUp channel (screenshot below) AND either book my calendar or ping me for action.
This was someone I spoke to last week about My StoryPro and it fell into the “MSP Trial Manual Onboarding” lane and I told Leisl I’d take this call.
And wait….we’re not done yet..
When I’m finished with any call (zoom or google meet) the video and transcripts from the call automatically dumps (via our AI agent work flow) into a Google Folder that is connected to our work drive….so now we all have access to important information, videos and I don’t have to constantly worry that I erased a zoom call to make space.
Why this matters to you:
AI should handle the boring coordination stuff so you can focus on work that actually moves the needle.
I always felt like I was drowning in status updates, losing important Slack threads and needing to have 23 google docs open at any given time.
Start automating the admin IN your CRM system to places where you can take action.
How to start:
Map your customer journey from first contact to sale. Pick the most manual step and automate it with tools like Zapier connecting your forms to your calendar and CRM.
Google Notebook LLM is still one of my all-time favorite AI products. *****if you become part of My StoryPro you get access to all my past and future AI and storytelling trainings… I did a deep dive earlier on how we use this miracle product..
Here is one use case:
We dump all our testimonials (for my storytelling programs, 1:1, Instagram DMs, emails and My StoryPro customer feedback into separate Google NotebookLLM hubs.)
Now anyone on the team can instantly see what people are actually saying about our products & services instead of me needing to explain.
For example, our new developer needs to REALLY understand what My StoryPro is all about… so rather than just TELL him on a zoom or a long email, we sent him our interactive AI Notebook filled with HUNDREDS of data points that he could question himself…with his developer POV.
No Human required. We can now apply different POV’s to extracting even more meaning from the data.
Why this matters to you:
This isn’t about posting the feedback for social proof, but for “how do we use this data to improve?”
When all your testimonials live in one searchable AI place, you learn from customers and make smarter decisions in your business.
How to start:
Collect 20-30 pieces of customer feedback in a Google Doc. Upload to NotebookLLM and ask: “What are 3 unobvious themes I am not picking up on from my customers?” Build from there.
ONE FINAL THOUGHT… I swear and thank you for getting to this point in my NOVEL. Dear Jesus.
Most people think AI will either save them tons of time or replace human creativity. Both miss the point.
It’s not about doing less work. It’s about doing the RIGHT work.
The coordination, organization, and analysis that used to drain my energy?
AI handles a lot of that now. Which means I can focus on strategy, creativity, angsting over my tech product, actually serving my customers better and angsting over my tech product.
But I KNOW implementing and knowing WHAT to even implement is really overwhelming.
You know AI can help…. But for the Love of God where do you even start?!
What’s worth your time vs what’s just more digital clutter?
If you want my eyes on your business – not only from a storytelling lens but how to “AI yourself up” without the stress – book time with me and Wiebke.
We can figure out what’s actually causing you overwhelm and can chat about the workflows you need for YOUR business…so you CAN do MORE storytelling and less of the other crap.
Or join us inside My StoryPro where we’re building a community around this exact stuff. You should check out our free trial!!
I promise the tool is not like the others..
Now that we finally hired professional help for both the marketing and the product, We will be adding more office hours and AI-focused classes based on what you need as a business owner.
Plus, members can book dedicated sessions with us to walk through your specific workflows and tech setup. (at a discount)
Because the goal isn’t to collect more tools. It’s to help you work smarter, not harder.
Thank you for coming to MY TED TALK. I hope this inspires you a little to use AI in a useful way in your business and/or life.
Wish me luck next week teaching 20-year-olds about AI workflows. I’m pretty sure they’re going to school me on half the tools I’ve never heard of. The circle of entrepreneurial life but I’m hoping to hold my own.
Happy weekend everyone. Be nice to people…especially on the Internet. There is so much pain right now in the world. Be a do-gooder.
XO,
Patrice
